100 Degrees Consulting is hiring a Virtual Assistant to provide best-in-class executive assistant services to the CEO. The position’s primary focus is to support the Founder & CEO to ensure that internal operations run smoothly, and client and other projects are executed flawlessly. You’ll be responsible for ensuring the organization runs like a well-oiled machine.

This position may be a perfect fit if you’re a proactive, detail-oriented self-starter. You can take direction and guidance then run with a project to completion. You love juggling multiple projects, moving quickly, and are the most organized of all your friends. You love to support others and think outside the box on how to get things done.

Our ideal candidate understands and has worked in the online business space. This industry operates a little differently than your typical brick and mortar corporation, and you should be on top of the trends to help our business run and grow as efficiently and effectively as possible. Virtual Assistant Job Description

This is both an internal and client-facing role. The right person will be interested in supporting our CEO and enjoying a flexible work schedule, rather than trying to build her own business empire. You’ll be responsible for the following:

Admin

  • Creating documents and/or training videos for processes and procedures
  • Invoicing clients on a monthly basis, ensuring accuracy
  • Running Accounts Receivable reports in QBO and following up on past due accounts
  • Uploading, scheduling, tagging, and testing newsletter, funnel, and launch emails in ConvertKit
  • Creating client proposals and onboarding sequences in Dubsado
  • Drafting social media and newsletter content in the CEO’s “voice”
  • Setting up and updating course content in Teachable

Client Support

  • Creating finance workbooks in Google Sheets
  • Inputting client budgets into QBO
  • Guiding clients through Gusto onboarding process and serving as point of contact in systems setup
  • Providing responses to clients on billing, Teachable, and other questions or issues
  • Monitoring Dubsado client onboarding process and answering any questions along the way

About You

  • This isn’t your first rodeo; you’re an experienced Virtual Assistant in the online business space
  • Thrive in a fast-paced environment
  • Organized and detail-oriented under pressure
  • Hardworking, highly self-motivated, and a quick learner
  • Proactive action-taker; you enjoy thinking one step ahead and creatively solving problems
  • Like the autonomy of owning your own tasks and responsibilities
  • Enjoy the detail work of creating and formatting Excel workbooks and PowerPoint presentations
  • Have a basic knowledge of Quickbooks Online
  • Embrace technology and systems and when you don’t know something, you enjoy taking the initiative to figure it out
  • Willing to roll up your sleeves and embrace the grunt work when needed
  • Write and speak professionally; can understand and write in the CEO’s “voice”
  • Have a great sense of humor, high-energy, and enthusiasm for working on a small, but growing team

  • It’s important that you maintain a workspace free of unnecessary distraction where client and internal calls may be taken in a professional manner

Our 2019 Year in Review

I was recently scrolling back through the thousands of photos on my iPhone and was struck with gratitude for an amazing year. There were photos from our family’s international travels, lots of my two daughters, and tons of everyday fun activities, plus conferences I spoke at, business friends I met in real life, and the little things in between.

As someone who is highly driven by goals and accomplishments, I don’t often take enough time to reflect on the past; I’m usually more focused on what’s next. But as I continue to work on slowing down in my life, I thought this a perfect opportunity for reflection.

2019 Impact

In 2019, we served purpose-driven leaders of nonprofits and businesses from around the globe in a variety of ways: bookkeeping, CFO services, financial analysis, education and more. Here’s our impact by the numbers:

  • We served 14 nonprofits who are helping to change the world through education, healthcare, refugee support, legal and consulting services for other nonprofits, microgrants, and community developments
  • We supported 8 purpose-driven businesses that provide online education to help creatives build businesses, health education to communities and schools, marketing and branding services to nonprofits and community organizations, and products to help women cultivate what matters in their lives.

2019 Investments into Our Tribe

We doubled-down this year on education for purpose-driven leaders around the globe. We spoke at conferences, including Creative @ Heart and Unfunded University, and presented webinars to thousands of leaders in partnership with Bloomerang, Blackbaud, Grant Professionals Association, and Nonprofit Learning Lab.

We made tons of upgrades to Master Your Nonprofit Numbers, the online course in financial management for nonprofit leaders, thanks to our first round of students’ feedback, because helping leaders better understand, use, and communicate their financials is an important element of our mission.

We continued to build and improve upon free resources for our tribe. For our business leaders, we created the Profit Playbook to create a roadmap to increased profitability so business owners can pay themselves consistently, have enough cash in the bank, and a clear path to achieving their goals.

For our nonprofit leaders, we created the Storytelling with Financials masterclass, a 45 minute long webinar that shares the importance of being transparent with your numbers and exactly how to interpret and analyze your financial statements to tell a more robust story about your organization (and raise more money!).

2019 Game-Changers as a Business Owner

It is very easy to get into the grind of working day in and day out, especially when we love what we do, without pouring back into our own cup. Even though I didn’t invest in any big trainings or coaching, I tried to make little deposits into the self-care bank throughout the year.

PowerSheets. Like I’ve said a dozen times, I am incredibly goal-oriented. But what I found was that I’d set goals at the beginning of the year, lose steam on them, and then just set new goals a few months later. I was motivated to set and accomplish goals but sticking with one set for a whole year was a challenge. Enter: PowerSheets. This amazing goal-setting planner, created by one of our clients, has been a game-changer for me. It leads you through a thoughtful, introspective process to actually set your goals, then checks in with you throughout the year on your progress. Game. Changer.

Books. Here are some of the business books that changed the way I thought about and ran my business this year.

Environment. I work from home 95% of the time from a little office at the front of my house. The space is quite small – maybe 100 square feet – and physical environment is important to me so I’ve spent a lot of time making the best of my tiny space. I rearranged my office, got my big bulky printer out of sight, and hung up art that brings my joy every time I see it. It was a small, but impactful change in my everyday life!

2019 Time and Travel

One of my goals this year was to be intentional about time and travel with my family. As a result, we were able to transform business trips into family adventures and create memories by doing something special nearly every week. Our family travels took us to Ireland, England, Iceland, and Cape Cod.

My business sent me to NYC for a media training, Chicago for client meetings, Florida for a mastermind retreat, San Antonio for a girls’ weekend, Washington DC and North Carolina to speak at conferences, and Toronto for a solo business retreat.

By working a reduced schedule, I was able to have special activities with my daughter every single week and ensure family remained a top priority: we played in the snow, visited a maple sugaring farm, went camping and hiking, explored all the museums, playgrounds, farms, and play places, swam, and did countless art projects.

By making intentionality one of my 2019 goals, I truly feel like I used my time well. I’m immensely grateful for a business that allowed me this blessing.

Checking in on your 2019 goals

Accountability alert!

I can’t believe we are almost halfway through the year. Now is about the time when everyone is putting together summer bucket lists and has all but forgotten those goals we set back in January. I’m no stranger to forgetting about my goals until, oh, about December when it’s time to set new ones. This year has been a little different for me though. I started using PowerSheets, a goal-setting planner that provides a framework for checking in on your annual goals on a monthly basis, so they don’t get forgotten or neglected. My goals have actually shifted in scope and priority since January 1st but they haven’t lost their focus which is most important.

I’m talking about goals in June because I know many of you set finance-related goals this year. Maybe it was to hit a certain revenue number, create a cash reserve, land a particular grant, or just finally take ownership of your numbers, despite how much you hate them.

I am here for ALL of it because the more we think and talk about our financials, the more they’re going to head in the direction we want!

And one way I can help keep you on track is by sharing the four simple things you need to do each month to meet your financial goals.

You ready?

4 Monthly Actions to Meet Your Financial Goals:

  1. Stay organized. Create an online filing system in the cloud (Dropbox or Google Drive), with a folder for each month, and keep all of your paperwork in this folder (not your inbox or a shoebox under your desk!). I’m talking bank statements, receipts, invoices, contracts, etc. An organizational system that seems annoying now will pay off tenfold if you ever need to find anything during tax time or an audit.
  2. Do your bookkeeping. Whether you’re doing your own bookkeeping or you hire it out, make sure it’s done in a timely manner every month. All revenue and expenses should be entered, classified accurately, and bank accounts should be reconciled, no excuses!
  3. Run & analyze reports. At minimum, you should review your comparative P&L (income statement) and balance sheet monthly, scan for major variances, and ensure you’re on track to your financial goals.
  4. Forecast 6-12 months out. Once you review your reports, look at the upcoming 6-12 months and map out your revenue and expenses again. Maybe June wasn’t a great month for revenue but you expect to make up for it in July – update that forecast! (Need a template to help with this? I GOT YOU.)

The last step? Set time aside on your calendar each month to be one with your numbers because what gets scheduled gets done!

We are adding another high performing bookkeeper to the team to deliver a high level of service to our clients because we’re growing by leaps and bounds. The Bookkeeper will support client engagements and business development as the company grows.

Your responsibilities will include:

  • Bookkeeping – Use a variety of accounting software packages to enter monthly and quarterly transactions, including but not limited to bank reconciliations, A/P and A/R reconciliations, and journal entries
  • General Administration – Run payroll for clients, process vendor invoices, submit wire transfers
  • Financial Reporting – Generate monthly financial reporting for clients, including customized dashboard reports
  • Client Service & Communications – Liaise and communicate with current clients via email and phone on bookkeeping and accounting matters

About you:

  • Love numbers and are an Excel whiz – think pivot tables and v-lookups
  • Know multiple accounting systems or can get up to speed quickly if you don’t (bonus if you’re expert level in Quickbooks)
  • Are meticulous about accuracy and ensure anything you submit has been checked and double-checked
  • Hate being late and never miss a deadline
  • Communicate proactively with questions and updates both internally and to clients
  • Believe that no journal entry is too big or too complicated and enjoy highly detailed work
  • Energized by providing clients with best-in-class bookkeeping
  • Thrive in a fast-paced environment and can stay organized and detail-oriented under pressure
  • Hardworking, highly self-motivated, and a quick learner
  • Embrace technology and systems like Slack, Trello, Salesforce, etc
  • Have experience with and passion for nonprofits
  • Are a skilled writer and communicator
  • Have a great sense of humor, high-energy, and enthusiasm for working on a small and growing team

Requirements:

  • Has own computer (PC is strongly preferred), phone, and internet access
  • Maintains a workspace free of unnecessary distraction where client and internal calls may be taken in a professional manner
  • Is able to be on video chat for scheduled meetings

Education and/or experience:

  • 2-4 years of nonprofit bookkeeping and accounting experience
  • Bachelor’s degree in accounting or related field is preferred

Logistics:

  • This is a contractor (1099) position
  • Compensation is competitive and commensurate with experience
  • .25 FTE right now (about 40 hours/month) with great potential to grow
  • Flexible remote work environment
